Mail Merge Manager

The purpose of the Mail Merge Manager is for you to download a comma separated text file of myClubhouse members. This multi-purpose file can easily be imported into many computer programs with mail merge facilities. Use the file to produce envelopes & labels, address letters or even print membership cards. The file can be opened in spreadsheet programs or even imported into your contacts in programs such as Microsoft Outlook.

To Create an Mail Merge File:

On the Welcome Page Menu, click Mail Merge Manager from the Club Officials panel. You will be taken to the User Selection Queries Page. User Selection Queries are extremely detailed searches of the database and can be saved and marked as Email Distribution Lists.

Follow the instructions for creating a User Selection Query. Once you have defined and saved your query search criteria from the User Query Definition Editor, return to the User Selection Queries Page and find your query in the table.

Once you are happy with your selection criteria, you are ready to download the mail merge file.

Click the "Mail Merge" button for your query in the table. A File Download window appears.

The default filename is MailMergeTemp.csv, choose whether to Open, Save or Cancel.

We recommend you Save the file. Click Save and the Save As window appears. Choose a suitable location for the file on your computer. Always ensure you save the file with the extension .csv (in some cases your computer may try to change it to .xls but this can cause formatting errors).

Your comma separated text file contains the following headings (they have been specially chosen to import exactly into Microsoft Outlook Contacts without you having to specify the fields to which they should be imported):

UserID, Title, First Name, Last Name, AddressID, Collective Name, Home Street, Home City, Home State, Home Postal Code, Home Country, Home Phone, Business Phone, Mobile Phone, E-mail Address, E-mail 2 Address, Categories, Membership End Date.

'Categories' refers to Membership Category and 'Home State' refers to Main Address County (in the UK).

If, after downloading, you do import this file into Microsoft Outlook Contacts you will need to map UserID, AddressID, Collective Name and Membership End Date to the User fields in Outlook Contacts using the Map Custom Fields options.
